The brief
The Australasian Land and Groundwater Association came to us ahead of EcoForum 2024 — their biannual conference that rotates between Australian and New Zealand capital cities each year — wanting a photo booth experience that did real work across a two-day program at BCEC.
The brief had a few moving parts. The booth needed to draw delegates in during conference breaks, give them a reason to interact with the EcoForum theme, and stay on-brand with both ALGA’s identity and the conference’s environmental focus. It also needed to flex — moving from the conference floor into the gala dinner on the second night to keep delivering value into a different format and energy.
For a biannual flagship event like EcoForum, with delegates flying in from across Australia and New Zealand, the activation needed to feel like part of the conference experience — not a hire-out propped up in the corner of the foyer.
What we delivered
We designed and delivered a fully custom print photo booth activation built around ALGA’s brand and the EcoForum environmental theme.
We worked directly with the ALGA team to design a fully wrapped photo booth — every visible surface custom-branded to the EcoForum identity. We also worked with the team to produce a custom printed backdrop. To bring the environmental theme to life on the floor, we curated a set of environment and green themed props that gave delegates a reason to lean into the theme rather than just stand in front of the camera.
The activation ran across both days of the conference, then moved across the venue into the EcoForum gala dinner that evening — extending the experience into a completely different setting and audience energy without missing a beat.
The full activation included:
- Fully custom-wrapped photo booth designed in collaboration with the ALGA team
- Custom-printed backdrop tying the booth to the conference theme
- Curated environment-themed and green-coloured props
- Custom-branded print layout
- Instant digital delivery to delegates via email with custom email template
- Relocation from conference floor to gala dinner on the second evening
- Dedicated attendant team across both days plus the gala
- Private online gallery delivered to ALGA post-event
The results
Across the two-day conference program, we captured nearly 600 photos. The booth then moved into the EcoForum gala dinner that evening and produced additional 200 photos across a three-hour window — bringing the total to over 700 photo sessions across the full activation.
We handed out more than 600 printed photos as take-home keepsakes for delegates, and 95% of every session was emailed directly to the delegate’s inbox — meaning ALGA walked away with a substantial dataset of engaged delegates and a library of branded content the organisation can draw on long after the conference.
The standout moment was something nobody planned for. The booth was designed purely for fun, engagement and on-theme entertainment — but the quality of the camera, the live preview on the booth screen, and the ability to email photos to delegates instantly meant something unexpected started happening. Delegates began asking if they could come back and have their photo taken specifically for their LinkedIn profile.
Our team rolled with it. Attendants started giving delegates direction on how to pose, helping them check the live preview on the screen, and emailing the final shots straight to their inbox so they could update their LinkedIn profile. Word spread across the conference floor and we ended up with a steady stream of professionals using the booth as an impromptu headshot studio — completely outside the original brief.
It’s a useful illustration of what happens when the fundamentals are right. A professional studio quality set up, instant delivery and an attentive team meant the booth could quietly pivot from a fun activation into a genuinely useful professional service for delegates — without compromising the original goal of fun and engagement on the conference floor.
Why a print photo booth was the right choice
A print photo booth was the right experience for ALGA EcoForum for three reasons.
It worked across both formats. A two-day conference and a gala dinner are completely different environments. A print photo booth is one of the most versatile experiences we offer — equally at home as a daytime conference activation as it is on a gala dinner floor. That flexibility meant ALGA got two distinct activations from a single setup.
It delivered tangible keepsakes. For a biannual conference where delegates fly in from across Australasia, a printed photo from the event becomes a physical reminder of the conference, the connections made and the ALGA brand. Six hundred prints in delegates’ hands is six hundred ongoing brand impressions long after EcoForum wrapped.
It set us up to pivot when delegates needed something extra. The booth was designed for fun and engagement, but the quality of the setup — professional equipment, live screen preview, instant email delivery — meant we could quietly accommodate something we hadn’t planned for. When delegates started asking for LinkedIn headshots, we had everything in place to deliver. That kind of flexibility comes from getting the fundamentals right, not from over-engineering the brief.
